Provides management and supervision of Clinical Information Services for the Operating Room (OR) Information Technology (IT) Support Team, responsible for implementation, development, adaptation and enhancement of OR-related information systems. In coordination with MCCS, provides supervisory support for the four Operating Room Services Department desktop hardware, peripherals and software. Assess user-training needs on an on-going basis and provide documentation, training and support to all users of the systems. Participates as a member of the Clinical Systems Team. Supports other clinical system projects as requested.



Responsibilities

Administrative Duties

Clinical Information Management

  • Provide managerial coordination of projects related to ORIT Communicate project status and timely problem resolution
  • Provide managerial supervision of the Work groups as assigned
  • Ensure work team meets organizational goals
  • Coordinate with OR Operational staff, IT goals and objectives

Coordinate maintenance of all supporting databases for assigned application systems.

  • Ensure production jobs are monitored daily in terms of system performance.
  • Monitor online system performance as a preventive measure to avoid unplanned system downtime and processing problems/errors.
  • Reconcile daily production jobs to assure that all data has been properly processed by the system.
  • Ensure consistent and adequate system administration and backup for all assigned systems
  • Document all problems that arise for follow-up by Operating Room Services, or other user department.
  • Schedule and attend regular meetings with user staff to discuss any problems or issues with systems and procedures.
  • Meet with Operating Room Services and other user department staffs on a regular basis to gather information and define needs.
  • Develop enhancements for the application system to meet these needs.
  • Assist management in resolving operational problems related to the systems.
  • Provide the Operating Room Services and other user department staff with analytical support for using the various systems to enhance their ability to perform their functions.
  • Write and modify reports from the application system using report generators, such as Crystal Reports and MS Access.
  • Provide training for users as necessary.
  • Maintain user-training manual.
  • Communicate and work with software vendor support staff to resolve software problems.
  • Participate in the analysis, design, testing and implementation of new application modules and enhancements to the system.
  • Assist in the testing and installation of system upgrades and program fixes.
  • Assist in the support of the interface between the mainframe and client-server systems.
  • Coordinate with MCCS staff to assure that adequate backup and disaster recovery procedures are in place (documented) and have been tested.
  • Project management for new systems and upgrades
  • Coordinate and supervisor all aspects of information systems projects for the assigned work area Help assure that adequate hardware is available for the implementation of software at all user locations
  • Meet regularly with user staff during set up and unit testing to assure that the system is being set up properly and that appropriate test scenarios have been used.
  • Maintain project plan for the implementation and meet with all members of the implementation team to assure that deadlines are being met and/or that provisions are made for any delays.
  • Keep management informed of the status of the project and project tasks.
  • Perform assigned implementation tasks.
  • Help assure that adequate hardware is available for the implementation of software at all user locations.
  • Meet regularly with user staff during set up and unit testing to assure that the system is being set up properly and that appropriate test scenarios have been used.

Hardware and Desktop Support

  • Coordinate and provide support of specialized hardware (e.g., barcode printers and scanners) for Instrument Tracking, Equipment Tracking and other systems in the Operating Rooms (Main OR, Surgery Center, Jules Stein OR and Santa Monica OR).
  • Coordinate and provide desktop support for users at all Operating Room departments in coordination with Medical Center Computing Services Desktop and Network Support Services.

Supervisory Tasks

  • Conduct performance evaluation of team members.
  • Coordinate and supervise work output of team members
  • Assure that staff has adequate facilities and equipment to perform their work.
  • Assure that there is adequate coverage for all tasks assigned to team, including planned and unplanned absences.


Qualifications & Requirements
  • Operating Room experience preferred,
  • Healthcare experience preferred
  • Bachelor degree in business, information systems, or computer science is required; with healthcare and clinical experience.
  • Master degree in same or related field is desirable.
  • Experience implementing clinical application software.
  • Experience with both mainframe and client-server applications and implementing interfaces between systems on different platforms.
  • Working knowledge of the hospital operations.
  • Project management skills.
  • Leadership skills.
  • Skill in working independently and following through on assignments with minimal supervision.
  • Skill in prioritizing assignments to complete ongoing tasks in a timely and accurate manner, reflecting relative importance of the tasks.
  • Working knowledge of PC software, such as word-processing, database, spreadsheet preferably in Windows environment.
  • Knowledge of terminology used in the computer industry.
  • Knowledge of medical terminology. Familiarity with CPT, DRG, ICD9 and UB Revenue coding and how they are used in billing.
  • Skill in analyzing information, problems, situations, practices, procedures to: define the problem or objective; identify relevant concerns or factors; identify patterns, tendencies and relationships; formulate logical and objective conclusions; recognize alternatives and their implications.
  • Skill in recognizing computer malfunction and in taking appropriate action.
  • Skill in writing, using correct spelling, punctuation and grammar, procedure manuals and routine business correspondence.
  • Skill in speaking clearly and distinctly using appropriate vocabulary and grammar to obtain and convey information to individuals at various technical and organizational levels.
  • Skill in interacting diplomatically with all levels of users--from staff to management--to ascertain and meet computer needs.
  • Strong customer service orientation required in dealing with all users of systems
